Function based classification systems enable records to be classified according to the context in which they are created and used. In contrast to a subject approach, records, therefore, are classified according to “why they exist” rather than “what they are about”.

This refreshing and entertaining five-day course will provide participants with a detailed step-by-step understanding of how to research, develop and use function-based classification systems. The course is structured into 7 sessions, over 5 days and is specifically tailored for both introductory level and advanced level individuals.

Session 1 sets the stage by identifying base details that need to be in place and understood to ensure organizations get it right.

Session 2 walks participants through function-based three-level hierarchical concepts and terms and discusses the differences in developing function-based classification systems compared to developing subject-based classification systems.

In Session 3, participants will review documentary sources, analyze business activity, prepare business classification schemes and determine recordkeeping requirements and resulting records in Session 3.

Session 4 formalizes the strategy for developing the classification system and the retention schedules.

Session 5 provides the participants with numerous classification and titling exercises, now that the function-based classification system has been developed.

Session 6 discusses change management techniques to help developers and users transition from subject-based classification to function-based classification, as function-based classification differs greatly from its predecessor.

Session 7 discusses a way to ensure that the function based classification structure remains current and up to date.
